TIME CLOCK
Driver sign-in and sign-out are clock-in and clock-out. Overtime is
checked per workweek: a workweek that crosses into another pay
period is totaled in full and checked in the period where it ends.
Times are Central; hours are exact
to the minute (h:mm), counted on the day the shift started. Open and
voided shifts don't count toward totals (a void can be undone with
Unvoid). Every change needs a reason
and is kept in the shift's history — nothing is overwritten.
Awaiting approval
Sign-ins and sign-outs made outside the driver's geofences, or with
no usable location. The time already counts toward totals; your
decision is recorded in the shift's history and can be changed
later. To correct a denied time, use Edit on the shift below.
Geofences
A driver assigned to geofences must sign in and out inside one of
them — allowing for the tablet's reported GPS accuracy, up to
164 ft. Otherwise the sign-in or sign-out
still happens but is sent above for approval. A driver with no
active geofence is unrestricted.

Payroll export
Files cover the pay period shown below and include completed shifts
only — never voided or open ones. Overtime is time past 40 hours in
a workweek, counted in time order, so days already exported never
change. Every export is recorded here.
MAINTENANCE
Service schedules, history, costs and expirations for every truck — the same data
mechanics see on shop.totewhiz.com. Odometers marked ≈ are the last reading plus GPS
miles (counted only while a driver is signed in, so they run low). Corrections keep
the original.
Inspections
Every pre-trip and post-trip exactly as the driver did it on the tablet: the checklist
version they saw, every answer, photos, readings, the earlier defects they acknowledged,
and each defect's repair. The driver's answers are never changed — an inspection can be
voided or given office notes, with a reason, and the original stays on record. Times are Central.
ELD
Duty status for every driver, worked out from sign-in/out and GPS:
Driving starts at 5 mph and ends after 5 minutes stopped; stretches
with no GPS are hatched. Breaks come from the tablet (ELD drivers);
office corrections need a reason and keep the original. Driving
can't be entered or overridden. Times are Central. Phase A — not a
certified ELD record.
ELD by driver
Duty status and the 150 air-mile and duty-window alerts apply to every driver. Drivers with ELD on also get breaks on the tablet and driving, weekly and 30-minute-break alerts. Turning ELD off needs the exemption reason. The 150 air-mile check measures from the driver's reporting location: their only geofence, or the one marked here if they have several.
Rulesets (admin)
Each day is classified from its GPS (states visited, air-miles from the driver's yard geofence). Pick the hours ruleset each classification uses. Changes recalculate the last 8 days.

Photos taken through the driver Repair flow, grouped by truck.
These are kept separate from service / proof-of-service photos
everywhere else in the dashboard. Deleting a repair photo here is
permanent — it removes the file from storage, not just the record.

CAPTURE REASONS

photo. Adding a reason makes it available immediately in the
driver's Repair popup. Deactivating a reason hides it from
drivers but leaves historical repair photos and records
untouched.
DRIVERS
Drivers listed here sign in at the truck with their name and PIN.
Adding a driver makes the PIN usable immediately. Resetting a PIN
replaces the old one. Deactivating a driver hides them from sign-in
but keeps their shift history and lets you reactivate them later.
Geofences (where a driver may sign in and out) are assigned in
Time Clock → Geofences; a driver with none is unrestricted.
TRUCKS
Truck # is what the driver types on the tablet at sign-in. The
internal code (auto-filled from the number if left blank) is
what GPS pings, photos, and route history are actually keyed to
— leave it alone once set. The color here is what marks this
truck on the Live Map and Routes trail — leave it alone to keep
the automatic color derived from the truck code. Deactivating a
truck hides it from active views but keeps its GPS and route
history, and it can be reactivated later.
ROUTES
Recurring route definitions — a name, default driver and truck,
and whether it runs on a 5-day or 10-day (A/B week) cycle.
Deactivating a route hides it from new route runs but keeps
history.
HOLIDAYS
SERVICE ZIPS
ZIP codes where a truck has been seen. New ZIPs are added
automatically as trucks report GPS — each truck's position is
reverse-geocoded about once an hour. You can also add or remove a ZIP
by hand; a manual add needs the ZIP plus a representative lat / lon.
OFFICE USERS
Named accounts for logging into this dashboard, separate from
drivers and trucks. Users can use everything except this tab and
the features below that aren't checked for them (checkboxes save
immediately); admins can also manage office users and always
have every feature. New accounts and password
resets use a temporary password — the user picks their own at
next login, and a reset logs them out everywhere. At least one
active admin must exist at all times — the server refuses to
deactivate, delete, or demote the last one.
OPEN SHIFTS
Shifts with no sign-out yet — a driver still on the clock, or one
orphaned by a crashed tablet or a forgotten sign-out. Shifts open
longer than 14 hours are highlighted. Force-closing sets the
sign-out time (defaulting to now) and flags the shift for payroll
as an admin cleanup rather than a real sign-out.
